Licenses
Licenses track research authorizations, permits, and compliance documentation required for experimental neuroscience research.
This includes animal research authorizations, human research ethics approvals, biosafety permits, controlled substance licenses,
and other regulatory requirements.
Fields:
- Name: Title or name of the license, e.g., "PPL: Septo-hippocampal dynamics 2025-2028" (required).
- Type: Type of authorization or license (required). Options include:
- Animal Research Authorization: Permits for experiments using live animals. Includes IACUC protocols (US), Home Office licenses (UK PPL/PIL/PEL), and equivalent authorizations worldwide. Required for work with vertebrate animals in research.
- Human Research Authorization: Ethics approvals for studies involving human participants. Includes IRB approvals, ethics committee authorizations, and consent protocols for clinical research, behavioral studies, and human subject data collection.
- Biosafety / GMO Authorization: Permits for work with genetically modified organisms, recombinant DNA, and biohazardous materials. Covers IBC approvals, biosafety level clearances, and contained use authorizations for transgenic animals (mice, rats, flies, fish, worms).
- Wildlife / Fieldwork Permit: Authorization for field studies, wildlife observation, sample collection in natural habitats, and research in protected areas. Includes endangered species permits and environmental research authorizations.
- Controlled Substance License: DEA registrations, Schedule I-V drug handling authorizations, and permits for use of controlled substances in research. Required for experiments involving opioids, stimulants, and other regulated compounds.
- Chemical Use Authorization: Permits for hazardous chemical handling, radioactive materials, and chemical safety protocols. Includes laboratory safety approvals and environmental compliance permits.
- Import/Export Permit: CITES permits for endangered species, material transfer agreements, cross-border shipment authorizations for biological materials, animals, or controlled substances. Includes primate import permits and international specimen transfers.
- Status: Current status of the license (required). Options: Draft, Pending Review/Issue, Active, Suspended, Expired, Revoked.
- Description: Detailed description of the license scope, purpose, and any specific conditions or limitations.
- Country: Country where the license was issued (ISO country code).
- Regulatory authority: The regulatory body that issued or oversees the license. Select from the standardized list of authorities, or add new authorities in the Taxonomies section.
- License number: Official license number as it appears on the approval document.
- License document: Upload the official license document (PDF recommended). Documents are stored securely in AWS S3.
- Valid from: Date when the license becomes valid or was issued.
- Valid until: Expiration date of the license. The system will display warnings for licenses expiring within 60 days.
- License holders: Named individuals authorized under this license (e.g., Principal Investigators, authorized personnel). Multiple holders can be selected.
- Public access: Determines if the license information is publicly accessible or restricted to authenticated users.
Permissions
Licenses follow BrainSTEM's role-based permission system for Personal Attributes. The license creator automatically receives all permission levels
(read, change, manage, own). Additional users and groups can be assigned permissions through the management interface.
License permission levels:
- Member (read): View license information
- Contributor (change): Edit license details
- Manager (manage): Manage permissions and members
- Owner (own): Full control including deletion
Integration with Regulatory Authorities
Licenses are linked to the Regulatory Authority taxonomy, which contains standardized information about 50+ regulatory bodies
worldwide. This ensures consistent reference to authorities and facilitates reporting and compliance tracking.

License API Access
The API allows for programmatic access to Licenses, enabling you to read, create, edit, and delete licenses through the API.
This facilitates integration with other systems, automated compliance checking, and custom reporting tools.
